How to Create and Manage Message Templates in Flawless POS

The Message Templates feature in the Communications module of Flawless POS allows you to create and manage reusable templates for emails and texts. This helps streamline communication with customers, ensuring consistency, accuracy, and a professional touch across all your automated notifications. Whether you’re updating customers on their service jobs, sending marketing messages, or managing transactional alerts, Message Templates save time while keeping your brand voice unified and reliable.

How to Access and Create Message Templates

To begin, navigate to the Store Messaging tab under the Communication module in the POS Admin.
From here, open the Message Templates tab at the top of the screen.

You’ll see multiple sub-tabs like Retail, Wholesale, Web, Marketing, Vendor, Components, Services, and Common. For this example, we’ll focus on creating templates under the Services tab to notify customers about updates to their Service Jobs.

Click Add Message Template and choose between Add Email Template or Add Texting Template.
You’ll then be prompted to fill out the template details:

  • Template Name – Enter a unique, descriptive name.
  • Template Type – Choose between Transaction or Marketing, depending on your use case.
  • Template Area – Select Services to categorize properly.
  • Sub Area – Pick Account, Product, Memo, or Services as needed.
  • Description – Add a short summary explaining the purpose of your template.

Once these fields are filled, click Next to move on to customizing your message.

Before filling out your template details, it’s important to choose the correct type based on your use case. Flawless POS supports both Email Templates and Text Templates, allowing you to tailor communication to your customers’ preferences.

Email Templates are best for detailed updates, promotional messages, and branded communication that includes headers, footers, and formatting.
Text Templates, on the other hand, are perfect for quick service notifications or status updates that need immediate visibility.

You can switch between template types anytime, ensuring each message aligns with your purpose, whether it’s for a service job notification, marketing promotion, or transaction confirmation.
